Office access & permissions
The Office module key
The Office module holds your most sensitive data — member PII, emergency info, background checks — so access is deliberately gated. First, your department must license Office. Second, an individual account needs the office module key to see it at all. A member without that key will not see Office on the Launchpad or in the side menu.
What each role can do in Office
- user with the office key — can do everyday office work appropriate to their access, such as viewing the roster and recording attendance, without the deeper administrative controls.
- admin — can configure the module: manage members and officers, build agreement templates, run email blasts, manage onboarding, and view reports.
- super_admin — everything an admin can do plus the most sensitive department configuration.
Fine-grained permissions
On top of the role, specific actions can require their own permission. If a member can open a page but the edit or delete buttons are missing, they have view access without the matching edit permission. Reveals of encrypted emergency information are also recorded, so even authorized access leaves an audit trail.
Granting access well
- Give the office key only to the people who genuinely need member data.
- Reserve admin and super_admin for the officers who configure the department.
- Review access periodically — remove the office key when someone leaves a role.
